1-Admin and Operations Manager

Administration manager job description

Real Teeth Dental Clinic (RTDC) is looking for a skilled professional to supervise the organization’s administration systems. The administration manager will be responsible for planning, streamlining, and executing administrative workflows and procedures. They will oversee a team that focuses on new personnel recruiting and training, and allocate responsibilities and office space to all staffers. The administration manager will also assess personnel performance, provide guidance, and implement process changes to enhance overall efficiency.

Objectives of this role

  • Recruit and onboard high-quality personnel that can advance RTDC’s goals
  • Establish conduct and workflow standards across the organization
  • Remove productivity roadblocks as they emerge

Administration Assistant job description

Administration Assistant will be undertaking the duties that involves managing administrative tasks, overseeing operational logistics, purchasing, and assist HR and administration Manager on tasks as the described below:

Responsibilities

  • Oversee clinic equipment and ensure that equipment/ assets are rightly use and returned properly
  • Control on office supplies, stationery supplier available in stock.
  • Yearly count and update of fixed assets each year.
  • Assist in preparing staff retreat such as organizing events, accommodation and travels, etc
  • Control and monitor any request to booking the meeting room, coordinator on slide projector and make sure it’s well organizing
  • Working closely with other department and staffs to organizing dental room operation 
  • Organize training sessions, workshops and activities for the department section in charge.
  • Any other task as assigned by HR and Admin Manager
  • Summery Monthly Reports 

 

Requirements

  • Bachelor’s degree of Administration, General Management or related field
  • Minimum 1 year of working experience in the specific field
  • Honest, highly responsible, and reliable
  • Good computer literacy (Internet and E-mail, Ms. Word, Excel, Outlook)
  • Ability to manage multiple tasks.

3-Customer Services 

Objectives of this role

  • Manage a large volume of inbound and outbound calls, emails, and chats with knowledge and efficiency
  • Identify and address customer needs, with a goal of total satisfaction
  • Provide expert answers to questions about products, pricing, and availability while presenting the value of our product portfolio to customers
  • Meet customer-service department sales targets, generating leads when opportunities arise

4-Dental Assistant

Responsibilities

  • Supports dental care delivery by preparing treatment room, patient, instruments, and materials.
  • Performs procedures in compliance with the Dental Practice Act.
  • Prepares treatment room for patient by following prescribed procedures and protocols.
  • Readies patient for dental treatment by welcoming, comforting, seating, and draping patient.
  • Provides information to patients and employees by answering questions and requests.
  • Assembles instrumentation by sterilizing and delivering instruments to treatment area, positioning instruments for dentist’s access, suctioning, and passing instruments.
  • Provides materials by selecting, mixing, and placing materials on instruments and in the patient’s mouth.
  • Helps dentist manage dental and medical emergencies by maintaining CPR certification, emergency drug and oxygen supply, and emergency telephone directory.
  • Educates patients by giving oral hygiene, plaque control, and postoperative instructions.
  • Documents dental care services by charting in patient records.
  • Maintains patient confidence and protects operations by keeping information confidential.
  • Maintains safe and clean working environment by complying with procedures, rules, and regulations.
  • Protects patients and employees by adhering to infection-control policies and protocols.

  • Develop treatment plans for patients based on their oral health needs.
  • Perform dental procedures, including fillings, extractions, and root canals.
  • Educate patients on proper oral hygiene practices and preventive care.
  • Maintain accurate patient records and documentation of treatments.
  • Prescribe painkillers or antibiotics as and when necessary.
